What is a clothing management system (KMS)?

A clothing management system (KMS), also called a workwear management system or uniform management system, is software that lets an organisation manage the workwear and corporate clothing of its employees: who may order which garments, in which size, within which budget and how often. Employees order for themselves in their own online environment, and the organisation keeps track of costs and stock.

What does a clothing management system do?

  • Wearer management: record for each employee (the wearer) which garments belong to their job.
  • Size registration: sizes are stored per product and per wearer, so reorders are right first time.
  • Budgets and points: set a budget per wearer, department or branch.
  • Reorders: wearers order replacements or extra items themselves, within the agreed rules.
  • Reports: insight into what has been ordered and spent per department or customer.
  • Integrations: for example an OCI connection to the organisation's purchasing system.

Who is a clothing management system for?

A KMS pays off wherever many people wear workwear or corporate clothing every day: healthcare, cleaning and facility services, construction and installation, transport and logistics, government and hospitality. The more wearers and job roles, the more time a KMS saves compared with ordering through lists, e-mail or spreadsheets.

The KMS is usually provided by the workwear supplier or dealer. The dealer sets up an environment for each business customer, in that customer's corporate identity, and takes care of delivery.

Why a KMS instead of spreadsheets and e-mail?

  • Fewer mistakes: no wrong sizes or duplicate orders.
  • Less admin: wearers order for themselves and the supplier processes the orders automatically.
  • Control over costs: budgets are monitored automatically.
  • The right clothing for every job: new employees also see exactly what they need straight away.

How does Promidata KMS work?

Promidata KMS is the clothing management system from Promidata, built for workwear dealers who want to give their business customers their own ordering platform. Every wearer gets a personal wearer webshop with only the clothing that belongs to their job, in their own sizes. A driver might see three products and a nurse eight entirely different ones.

Managers can give wearers points to order with during the year, or order for their whole department or branch themselves. KMS is connected to the Promidata network database with hundreds of thousands of products from brands such as Tricorp, Mascot and Santino, and links to the customer's purchasing system through an OCI connection. In the dashboard the dealer sees the revenue per customer and the budgets customers have reserved.

FAQ

Frequently asked questions

In the workwear industry, KMS stands for clothing management system (from the Dutch Kleding Management Systeem): software to manage and order workwear and corporate clothing per employee.
In an ordinary webshop everyone sees the same range. In a KMS each wearer only sees the clothing that belongs to their job, in their own sizes and within their own budget. A KMS also handles budgets, permissions and reports for the organisation.
A wearer is the employee who wears the workwear. In a KMS every wearer has a profile with their job, sizes and budget.
That depends on the number of wearers, the integrations and the customer's wishes. Promidata KMS is priced on request: request a demo and we will show you the options and costs.
