What can you do with the article configurator in Promotional Office?
With the artikel configurator you will be able to specify predefined choices when selecting an article. We give an example: lets say; you want to add a box with peppermints to a quotation for your customer. You then choose the main product “Box”. Then you will have a choice of different options, such as color and editing of the top, color and editing of the bottom of the box and the type of filling (peppermints or other sweets).
What is a color and size table within Promotional Office?
Some articles exist in different variations, such as textiles. There are various textiles, such as t-shirts, in different sizes and in different colors. Each color, size variation is a SKU. Promotional Office uses a “matrix” to display this. This is nothing more than a table that shows the different options. Behind each combination you can enter your own prices, including graduated scaled prices. When you place this product in a quotation or in an order, then the system will ask you to choose a color and a size. When you are done, the system will calculate the correct prices for you.
Can Promotional Office be connected to our telephone system?
Do you have a TAPI/CTI PBX? Then it is possible to connect Promotional Office directly to this. The advantage is that you can call the customer directly from Promotional Office. If the customer calls you, you also have direct information about this customer, such as the current quotations/orders, the outstanding invoices, etc. All this information together in one screen.
Can I also upload my own products?

Which products of which suppliers can I import into my webshop?
A list of all affiliated suppliers can be found here. If you are already a customer, you can select your desired suppliers in the Promidata Portal at the Promas Settings.
Can I set or influence the prices of the products in my webshop myself?
But for sure! You can set your own margin per supplier. You can see from any supplier whether the product prices are purchase or sale prices. Depending on this, you can increase these prices by a certain margin or reduce a discount factor. The same applies to variable and fixed finishing costs. This feature can be found in the Promidata Portal at the Promas Settings.
Where can I see how up-to-date the articles in Promidata Webshop are?
In the Shopware backoffice of your Promidata Webshop. Log in with your user data and click on catalog: Manage products in the top menu. You can see all the products that are in your webshop. In the “Updated on” column, you can see the corresponding date.
Where is the webshop hosted?
Currently, all our webshops are hosted by our partner hostNET in Bremen – hosting made in Germany. At hostNET, we have state-of-the-art, cloud-based server technology at our disposal.
What payment options are there in the webshop?
Promidata Webshop offers standard: payment on advance payment, invoice, receipt, cheque and via PayPal. If desired, plug-ins can be installed for other payment providers, e.g. Paydirekt, instant transfer, or Giropay.
Can I also get a full service shop / customer shop at Promidata?
Klaro! Many customers today expect you as a retailer to have their own web shop available or want to implement such a customer shop together with you. For this we are at your disposal with all our experience and competence. Adjusting the logo and colours according to the customer’s house style is one of our tasks, as is finding suitable modules or self-programming of certain modules that are needed to meet all the wishes of your customers.
Can you also put a login page in front of the shop?
Logical! We have a finished module at our fingertips. Click here to see an example.
Can I change the banners / sliders on the start page myself?
Yes absolutely! Because you should redecorate the home page again and again, like the shop window of a shop. Log into the Shopware BackOffice of your Promidata Webshop and click on Webshop: Slider: Slider English: Slides
Here you can easily upload new sliders, delete existing ones, or change the order. Remember to link your sliders to your customer by clicking on the slider to another website or to a specific area in your online store.
Can I display a cookie hint?
Yes! Log in to the Shopware BackOffice of your Promidata Webshop and click System: Settings in the Top Menu. There you will find the point of session cookie management at General: Web. Activate the restrictive cookie mode by setting “yes.”
Does the shop have a newsletter function?
Shopware offers a newsletter feature. In other words, visitors to your website/webshop can enter their email address and register for your newsletter. In the backoffice, you can manage newsletter registrations and export a list of recipients. Due to spam problems, we recommend you to send newsletters but an external tool, such as Mailchimp.
Is there a module for catalog ordering?
Yes! For a price of XX EUR, we offer you a module for ordering a catalogue. There you can capture all your catalogues and photos. Customers can click on them individually and order them with your address details.
Does Promidata Webshop offer an intelligent search?
In addition to the integrated intelligent search function, webshop visitors have access to filter navigation. It can be filtered by category, color, brand and price. In addition, Promidata Webshop offers an “Advanced Search.” There you can choose from name, description, item number, delivery time, etc. And, of course, in combination with several search criteria.
Can I link Promidata Webshop to my social media links?
Easily! We provide icons of popular social media channels: Facebook, Google Plus, Twitter, YouTube, XING. These can be integrated into your shop and linked accordingly.
Is Promidata Webshop multilingual?
Of course! We will set up a StoreView, i.e. a language variant, at the beginning. However, the shop can be multilingual and the product data is available in several languages depending on the suppliers. If desired, we can set up the page with you accordingly and, for example, Activate another Storeview for “English.” You will, of course, have to create all your pages in English. The advantage of Shopware is that all languages are possible.
Can I also use Promidata Webshop on my mobile phone or iPad?
Absolutely! Nowadays, it is imperative that an ontline store is “responsive,” i.e. can be displayed on all mobile devices. This is standard for us.
Do I get access to the Back Office from the shop?
Of course! As soon as your shop is set up, we will provide you with access to your shop’s back office.
How do the inquiries or orders arrive?
In the best way, automated as quotations or purchase orders in our ERP system Promotional Office! If you are not yet using this great product from Promidata, you will receive the quotation requests and orders from your Promidata Webshop by e-mail. It contains all information (customer data, article data, shipping details, etc.). To do this, please provide us with an e-mail address at the shop facility. In addition, you can also view all orders in the Shopware BackOffice.
Can I also create my own categories in the Promidata Webshop?
Undoubtedly! This makes sense, for example, if you still have your own products, or, for example, a category “bestseller” or “express article.” Log into the backoffice and click on catalog: Manage categories in the top menu. They end up right in the mask to the creation of a new main category. Enter all the information and then click “Save Category” at the top right. Cache empty do not forget and you can already see your new category in the front end of the shop.
Can I rename existing categories?
Certainly! Go to category management and switch to the English StoreView. Here you can rename the existing categories at will and change the URLs. Important: Please never change the category keys, otherwise the product import will no longer work!
Can I create pages with interesting content in Promidata Webshop?
Certainly! And we recommend this – both in terms of customer service and Google’s discoverability. Basically, you can create as many content pages as you like and fill them with content. The more self-written texts with relevant content (content) you have, the more positively it affects your Google ranking. In the foreground, all that should be that you have your customers or your customers. Potential customers want to provide as much interesting information as possible. When it comes to promotional articles, I can immediately think of the following: Explanations of the various printing processes and finishing possibilities, insights on the effectiveness of promotional articles, examples of successful marketing campaigns with promotional articles, a guide To order promotional items with information about print templates, etc. Of course, standard pages such as About Uns/Team, Our Services, Delivery & Shipping, Legal Notes, etc., are also recommended.
To create such a page, you need to log into your store’s back office. In the top menu, click CMS: Pages. At the top right you can see the box “+ new page.” A new window opens with 4 options left: Page information, content, design, metadata. Start by entering the page title and URL, StoreView and status are already pre-filled correctly. When it comes to content, you can write texts, insert links or simply use copy + paste to copy content from elsewhere. Last but not least, it’s best to maintain the Meta Keywords and Meta description and then click on the green “Save page” box. Cache empty do not forget – see point cache.
Can I also add links to external pages?
Definitely! Every word, every picture, every banner you insert into your webshop can be linked. You can also choose whether to open the link in the existing window or in a new page.
Are there different layouts for Promidata Webshop?
But for sure! It is not our goal to sell the same shop dozens of times. In the first step, we distinguish between the standard and a wide screen layout. These, in turn, are then still with different menu guidance, category display, etc. Available. Is there also an order function for sample products?
What a question – sample products are a must in the promotional industry. Compared to other forms of advertising, the promotional article is specifically about the feel. If the customer has found an interesting product in the shop, there are 3 options: In the shopping cart, order samples, or send a quotation request. A sample order then proceeds exactly the same as a regular order, but sample products are always without finishing. There are various settings for sample products ordering: Maximum number of sample products per item, maximum number of sample products in total, sample products surcharge, …
Can I specify the order delivery note and invoice numbers in Promidata Webshop?
No problem! A standard module is also available for this purpose. This allows you to set the format of your numbers individually.
What is the cost model? Is it a rental option?
Buying a webshop or online store does not make sense, as it is completely out of date after one year at the latest – technical, functional and with regard to the item data. Thus, we offer Promidata Webshop exclusively as a rental option. You pay a fixed amount per month and receive the Webshop including regular security updates, feature updates, product updates and first-class support. When commissioning a new shop, there are one-time setup costs.

- For most requirements and ideas we have modules that just have to be installed. Most modules are already available € 100-500 plus layout. However, we also have a team of programmers, so that we can implement all customer requests flexibly and individually. Realizing your requirements is therefore not a problem – at most a matter of financial expenditure.
Delivering Product Information
Promidata processes large quantities of product information from suppliers from the promotional world on a daily basis. In addition, there are also more and more distributors who want their own product information processed because they want to distinguish themselves from their competition. An additional advantage is that they are simultaneously rewarded by Google because of their own written product texts. Promidata has developed the Data Control Tool in order to properly guide this flow of product information.
